Free school management software: what it actually costs

Genuinely free school management software exists in two forms: open-source systems you host and maintain yourself, and free tiers of commercial products that are limited by design. SchoolDeck is neither — it starts at ₹120 per student per year. This page is an honest account of when free is the right answer and when it is not.

We sell paid software, so read this knowing that. The specific claims below are checkable, and we have tried to make the case for free where it is genuinely the better choice.

Schools search for free school management software for good reasons. Budgets are real, and a school of three hundred students in a small town cannot spend what a metro private school spends. The question deserves a straight answer rather than a sales page.

The straight answer is that free software has a cost, it is just not on an invoice. Sometimes that cost is lower than the licence fee and free is correct. Sometimes it is much higher and paid for in the worst possible currency, which is a lost year of records.

Open-source
Free licence; you pay in hosting and administration
Free tiers
Free at small scale; limits are the business model

The real question
Who will own it in year three
01

What free actually costs

Every free option transfers work rather than eliminating it. Knowing which work is transferred lets you judge whether your school can absorb it.

  • Hosting and backups. A server, and a backup that has actually been restored from at least once. A backup nobody has tested is not a backup.
  • Upgrades and security patches. Student data is sensitive; an unpatched instance is a real exposure, not a theoretical one.
  • Configuration. Fee heads, grading schemes and report card formats are the same work whoever does it. Paid products include this; free ones do not.
  • The person. The largest cost and the one most often forgotten. Free software needs an owner who is still there in year three.
02

When free is genuinely the right choice

We would rather say this plainly than have you discover it after buying from us.

  • You have a competent technical person on staff who owns it as part of their job, not as a favour.
  • Your requirements are stable — a single campus, one board, a fee structure that does not change much.
  • The budget genuinely is zero. A functioning free system beats a paid system you cannot renew in year two, and the worst outcome is a mid-year migration forced by an unpaid invoice.
  • You want to hold the deployment for a policy reason. That is a legitimate requirement and we cannot meet it.
03

When free turns out to be expensive

The failure pattern is consistent enough to describe precisely. A school adopts a free system, configures it enthusiastically in year one, and the person who did the work leaves in year two. By year three the instance is several releases behind, nobody knows the admin password, and the backup has never been restored.

At that point the cost is not a licence fee. It is a year of fee records reconstructed from receipt books, which costs more in staff time than a decade of subscription and cannot be fully recovered.

04

What we do instead of a free tier

We do not offer a free tier, because a free tier for schools is usually a trap — it works until the roll grows or the year turns, at which point the school is committed and the price is whatever it is.

What we do instead: implementation, migration and training are included rather than quoted separately, message credits pass through at cost, and complete structured export is available on demand so leaving us is a button rather than a negotiation.

FAQ

Questions people ask

Phrased the way they arrive, answered so each one stands on its own.

Is there a free version of SchoolDeck?

No. There is a demo and a pilot, but no permanently free tier. We would rather say that plainly than offer a tier designed to become unusable at the point where switching is hardest.

What is the cheapest genuinely free option?

Open-source school ERPs are the honest answer if you have someone to run them, and government systems cover some functions at no cost in several states. Both are real options and we are not going to pretend otherwise.

Can we start on paper and move later?

You can, and the migration is easier at a year boundary than mid-year. The thing that is genuinely hard to reconstruct later is fee history, so if you keep one thing carefully while deciding, keep the receipts.

What does SchoolDeck cost?

From ₹120 per student per year on Essential, with implementation and migration included and no set-up fee. Full detail is on the pricing page.
