Admissions from first enquiry to admission number

SchoolDeck runs online school admissions end to end: an application form parents complete from a phone, document upload and verification, entrance or interaction scheduling, seat offers with acceptance deadlines, fee payment, and conversion to a student record carrying the admission number forward.

It does not decide admissions. Selection criteria, quotas and RTE allocation remain the school’s decisions; the system records and enforces what you set.

Admission season is a write-heavy month where fifty people type at once and every one of them is under pressure. It is also the month that determines whether the rest of the year is calm, because a student admitted with a misspelled name or a missing date of birth carries that error to the transfer certificate.

Where admission data goes wrong, and when to catch it

Every error caught at the counter costs minutes; the same error caught at the transfer certificate costs a reissue and an argument. The fields worth validating hard, at entry:

  • Name, against the birth certificate. Not against what the parent writes on the form. This is the single most common source of later disputes.
  • Date of birth, in figures and words. Both, entered separately, so a mismatch is caught immediately rather than at issue.
  • Age against the class applied for. Cut-off dates vary by state and board; an application that fails the rule should say so before a seat is offered.
  • Guardian contact. Verified at application, because it is the channel every fee reminder and shortfall alert will use for years.

Enquiries, and knowing which channel actually converts

Most schools cannot say which of their channels produces admissions, because enquiries arrive on three phone numbers and get written in whichever register is nearest. The answer is usually assumed to be the hoardings, and is usually word of mouth.

Recording the source at first contact, on one enquiry record, is what makes the following year’s spend defensible. It costs the front office one extra field.

Does it handle RTE quota admissions?

Yes. RTE applicants are flagged at application and carry that status onto the student record, where their entitlement is tracked per fee head and the state reimbursement is recorded as a receivable rather than a discount.

What happens when an applicant accepts a seat?

The application becomes a student record with the admission number allotted, and everything already captured — name, date of birth, guardians, documents — carries across without being typed again.
