TutorDesk · Coaching & institutions

Enquiries in. Results out. Nothing lost between.

For coaching institutes where the business is conversion and the reputation is results. Batches, test series, fee instalments and the follow-up that decides whether an enquiry becomes an admission.

Who it serves

Three people, three entirely different days

The same record is read from very different places. Each desk gets the screen its job actually needs.

The owner

Sees conversion by source, collection against target, batch fill rates and which centre is drifting — on one screen, daily.

The counsellor

Works a queue of enquiries with the next action on each, rather than a notebook and a memory of who promised to call back.

The faculty member

Marks batch attendance, publishes test results, and sees which topics the batch is actually weakest on.

8 modules

What an institution actually runs on.

Every module writes to the same record. Turning one on is a permission change and a form — never a migration, never a second login.

The full module matrix
01

Enquiry CRM

Source, owner and next action on every enquiry, so follow-up survives a busy evening.

02

Batch management

Batches with their own start dates, capacity and faculty, plus waitlists when one fills.

03

Fee instalments

Plans that match how families actually pay, with reminders tied to the instalment.

04

Test series & ranks

Series scheduled across a batch, with percentile and rank published the same day.

05

OMR evaluation

Sheets scanned and imported against the student record, with unmatched rows reported.

06

Biometric attendance

Entry captured at the gate, so a parent knows their child arrived without anyone phoning.

07

Multi-branch & franchise

Shared fee policy and test series, separate books per centre, one owner-level view.

08

Performance analytics

Topic-level weakness across a batch, so revision is planned on evidence rather than instinct.

The academic year

One continuous record, carried forward

  1. Step 01

    Enquiry

Captured once with its source, so you learn which channel actually converts rather than assuming.

  2. Step 02

    Admission & batch

The enquiry becomes a student in a batch, with a fee plan attached and nothing re-typed.

  3. Step 03

    Test series

Attempts, scores and ranks accumulate against the student, not against a loose spreadsheet.

  4. Step 04

    Renewal

Next year’s enrolment is a decision made with the attendance and results history already in front of you.

Why this one

Three things institutions tell us break elsewhere

Follow-up that survives the evening rush

Between six and nine every enquiry is a phone call. A queue with an owner and a next action is the difference between converting and forgetting.

Results published the same day

A test series that ranks two days late has lost most of its value. Evaluation, ranking and publication run as one flow.

Branches that stay comparable

Shared fee policy and one test series across centres, so a franchise owner can compare branches without normalising four spreadsheets.

Solutions

Shaped to how you are set up

01

Single centre

One location, a few hundred students, an owner who also counsels. Everything on, nothing to configure for a month.

02

Multi-branch network

Shared policy and test series with separate books per centre, and one view across all of them.

03

Franchise model

Franchisees run their own operations under your brand, curriculum and test series, with royalty reporting built in.

Assumptions

What TutorDesk assumes about you

Every system encodes a view of how the work is done. Here is ours, written down before you buy it rather than discovered in month three.

We assumeWhat it buys youWhere it strains
The enquiry is the unit of workEvery enquiry has an owner and a next action, so conversion becomes measurable by source rather than guessed at.Centres where walk-ins are handled by whoever is free need one person to own the queue, or it stops being reliable.
Batches start on their own datesRolling admissions work without pretending a coaching centre has an academic year.Institutes that run a single annual intake gain less from this than they expect.
Results are published fastSame-day ranks, which is most of what a test series is actually for.Where evaluation is outsourced with a two-day turnaround, the advantage largely disappears.

If two or more of the right-hand column describe you, say so on the call — it changes the implementation plan, not the price.

Use cases

The weeks that decide the year

Admission season

Hundreds of enquiries across three weeks, each needing a call, a counselling session and a follow-up nobody drops.

Weekly test series

Sheets scanned on Sunday, ranks published Sunday evening, weak topics visible to faculty by Monday.

Instalment follow-up

Reminders tied to the instalment rather than the calendar, stopping the moment a parent pays.

Opening a second centre

Shared fee policy and test series from day one, separate books, and one comparable view across both.

Load through the year

Five seasons, and what breaks in each

  1. Mar – Jun

    Admission season

Enquiries, counselling sessions and batch allotment, with the follow-up load at its highest.

    Enquiry writes, ~8× normal

  2. Jun – Jul

    Batch start

Batches formed, faculty assigned, fee plans generated and first instalments collected.

    Bulk generation, one heavy night

  3. Aug – Dec

    Teaching term

Daily attendance and weekly tests — the long stretch where consistency matters more than capacity.

    Weekly result publication burst

  4. Jan – Mar

    Final stretch

Mock tests at full length and frequency, with rank tables parents read closely.

    Concurrent test attempts

  5. Apr

    Renewal

Next year’s enrolment decisions, taken with attendance and results history in view.

    Renewal writes across the roll

Scope

Four things TutorDesk deliberately does not do

A gap named in the sales conversation is a decision. The same gap found after go-live is a grievance.

No content library

We do not supply question banks, video lessons or study material. Your curriculum is yours, and we do not compete with it.

No live class hosting

Online classes run on whatever you already use. We record attendance and results, not the video stream.

No statutory board returns

Coaching institutes are not schools. If you also run a school, that is SchoolDeck’s job, not this product’s.

No OMR hardware

We import from scanners you already own. We do not sell, fit or warrant the scanner.

Migration & service

Migration, and what we commit to in the contract

  1. Week 1Extraction

Students, batches, fee plans and last year’s test results arrive in whatever form they exist. We map and return a gap list.

  2. Week 2Dry run

A sandbox with your real batches and fee plans. The counselling desk signs off on ten enquiries end to end.

  3. Week 3Parallel

Both systems live for one instalment cycle, reconciled to the rupee before the old one is retired.

  4. Week 4Cutover

Enquiries and collection move over. The old system goes read-only rather than being deleted.

Questions

Asked before every decision.

Book a demo

Does TutorDesk handle multiple branches?

Yes. Branches share fee policy and test series while keeping separate books, so an owner can compare centres without normalising several spreadsheets.

Can it evaluate OMR sheets?

Yes, importing from scanners you already own. Rows that do not match a student record are reported rather than silently dropped, which is where most OMR imports go wrong.

How fast can test results be published?

Same day. Evaluation, ranking and publication run as one flow, because a series that ranks two days late has lost most of its value.

Before you talk to anyone

The price and the counting rule are on the page.

What a student counts as, when the count is taken, and what is never billed extra — written down, next to the number.
