A school leave application states who is writing, the student’s name and class, the exact dates of absence, the reason in one line, and a request for leave — addressed to the class teacher or principal. It should be four or five sentences, and it should be given before the absence wherever the absence is known in advance.
Some schools require leave on a printed form or through their app. Check what your school accepts before writing a letter.
Most people searching for this are a parent writing to a school, or a student writing for themselves, and they want to get it right in five minutes. The samples below are for that. The school-side note at the end is for schools deciding how to receive leave.
A leave application is short by design. Its job is to create a record that the absence was authorised, so it needs the dates to be unambiguous and the reason to be stated once, without elaboration.
Miss any of these and the school comes back asking, which defeats the point.
| Element | What to write |
|---|---|
| Addressee | The Class Teacher, or The Principal for leave beyond two or three days |
| Subject line | Application for leave — with the dates in it |
| Student name and class | Full name as on the school record, with class and section |
| Exact dates | From and to, with both days named. Avoid "for two days" |
| Reason | One line. Fever, a family function, travel, a medical appointment |
| Request | A direct request to grant leave for that period |
| Signature | Parent or guardian name, and relationship to the student |

Respected Sir/Madam, my son Dev Malhotra of Class V-C will be travelling with the family for a wedding at our native place from 22 September to 26 September 2026. I request you to kindly grant him leave for these five days. I have noted the dates of the class test on 24 September and will speak to the class teacher about it. Thank you.

The letter matters less than what happens to it. A leave application that is granted verbally and never recorded produces an absence that looks unexplained in the register three months later, at exactly the point where attendance shortfall is being calculated.
Phrased the way they arrive, answered so each one stands on its own.
Four or five sentences. Its function is to record dates and a reason, not to explain the circumstances. Longer letters do not increase the chance of leave being granted.
Write the dates, both of them. "Three days from Monday" is ambiguous about whether Monday counts and gets recorded wrongly often enough to matter.
Most schools ask for one beyond about three consecutive days, and many require it for any absence during an examination period. Check your school’s rule; attaching one unnecessarily does no harm.
Yes, and it should be, if the absence was unforeseen. Send it on the day the student returns so the register can be corrected before the month closes.
