SchoolDeck compared with Vidyalaya

Deployment model drives total cost more than licence price does. A system installed on your premises carries hosting, backup, patching and an owner; a hosted system carries a subscription and removes those. SchoolDeck is hosted only, on Google Cloud in Mumbai, with data resident in India.

Schools comparing an on-premise option with a hosted one usually compare a licence fee against a subscription and conclude that the licence is cheaper. Over five years it frequently is not, and the difference is entirely in the lines that do not appear on either quotation.

The right-hand column below is what to ask them, not what we claim about them. We publish SchoolDeck and do not track other vendors’ current feature sets; anything material should be verified with the vendor directly.

Where each one wins

If you need software on your own premises for a policy reason, we cannot meet that and you should shortlist products that can. If you do not, compare the five-year total — subscription against licence plus server, backups, patching and the person who owns it — rather than the headline figure.

The lines missing from an on-premise quotation

None of these are hypothetical; they are what schools discover in year two.

  • A server, and its replacement. Hardware has a life, and its end arrives without warning.
  • Backups that have been restored from. An untested backup is a belief, not a backup, and the test is the only thing that establishes it works.
  • Security patching. Student data on an unpatched machine on your premises is your exposure, and it is on your letterhead.
  • Power and connectivity adequate for the office to work during a fee rush.
  • A person. The largest line, and the one never quoted. Someone owns this, and they must still be there in year five.

When on-premise is genuinely the right answer

We lose these fairly and would rather say so.

  • A policy or contractual requirement for data on your own infrastructure. Worth checking whether the policy actually says that or whether it has been assumed.
  • Connectivity genuinely unreliable enough that a hosted system would be unusable — though note that our attendance and fee collection work offline and sync.
  • You already have competent IT staff with capacity, for whom this is a marginal addition rather than a new responsibility.
