The enquiry pipeline, before there is an application

Enquiry management covers everything that happens before a family applies: capturing the enquiry from whichever channel it arrived on, assigning an owner and a dated next action, recording every conversation, and converting to an application without re-typing anything.

This is the stage before an application exists. The application itself, the document checklist and the admission number are online admissions, which is a separate page.

The front office is busiest during exactly the eight weeks when enquiries arrive. An enquiry taken on paper at 11am on a Saturday in March, with four families waiting, is the one nobody calls back — and it is indistinguishable at the time from every enquiry that did convert.

One queue, whatever the channel

An enquiry recorded in four places is an enquiry lost in three. Walk-ins, calls, website submissions and WhatsApp messages land in one list, and duplicates from the same family across channels are matched rather than followed up twice — which families notice and comment on.

Sibling enquiries are matched against the existing student record, so the conversation opens with the family’s history rather than treating them as strangers. Where a school has a strong sibling pipeline this is a large share of intake and the fastest to convert.

02

A queue, not a report

The screen the front office opens is what is due today, overdue first, with the last three interactions visible against each name. That is a different object from a report of how many enquiries the school has received, which is the screen most systems open with and which nobody acts on.

A promise-to-pay or promise-to-visit date is a field rather than a note, so it reappears on the day it falls due. That single behaviour is what most offices notice in the first fortnight.

FAQ

Questions people ask

Phrased the way they arrive, answered so each one stands on its own.

How is this different from online admissions?

Enquiry management is the stage before an application: capture, follow-up, conversion. Online admissions is the application itself — the form, the document checklist, the seat and the admission number.

Does the enquiry data carry into the student record?

Yes. On admission the enquiry is converted rather than re-typed, so guardian details, sibling links and the conversation history follow through.

Can we see which sources actually produced admissions?

Yes, carried through to admission and first instalment received. Counting enquiries by source rewards whatever generates phone calls; counting admissions rewards what enrols students.
